When you don’t have to reinvent the wheel every time, you get things done quicker and you can focus your energy on more impactful activities.

Whether you’re outsourcing to a virtual assistant or onboarding new team members, SOPs make delegation seamless. Instead of spending hours training someone, you can hand them an SOP that outlines exactly what needs to be done, when and how.

2. Break Down Each Task

For each task, write a step-by-step guide. Be as detailed as possible, including tools or templates needed. For instance:

  • Log in this site – Give site information ( provide credentials ) 
  • Click on – Show screenshots ( Pro Tip: you can also provide video clips) 
  • Select – What action they should take and always give the why 

4. Test and Revise

Run through the SOP yourself and have a team member test it. I usually let someone who is not familiar with the process to test it to ensure anyone can perform the task. Always get feedback from the user and revise as needed, this will ensure the process works efficiently.

5. Save your SOPS in a File

Keep your SOPs in a central location, such as a shared Google Drive folder or a project management tool. Make sure they’re easy to find and update. Use a naming convention for organizational purposes, and don’t think you have to build all your business SOPs at once simply start one by one. Before you know it you will have your entire business documented.
